Conference Desk Manager

Duties and Responsibilities:

  • Responsible for the coordination of specific conferences throughout the summer.
  • Duties include coordinating group reservations, creating room assignments, preparing ID cards and key checks, reserving meeting rooms, organizing Check-In and Check-Out procedures, answering emails, performing billing operations, and providing hospitality service to our customers.
  • Must be accessible outside of your regular schedule in order to answer questions related to your assigned conference. You will be provided with a Conference Housing cell phone for use over the summer.
  • Help oversee and train the Conference Housing Assistants who work at the Conference Desk.
  • Perform management duties related to the Conference Desk including creating schedules, submitting payroll forms, provide customer service training, and coordinate daily housekeeping reports.
  • Responsible for general administrative office duties as assigned.
  • Work with other CHM’s to ensure customer satisfaction
  • Work as “on-call” overnight manager for any emergencies during office after hours.
  • Other duties as assigned

Required Qualifications:

  • Minimum two years of completed college
  • Minimum one year of experience in college residence life or conference/hotel setting
  • Proficient Computer Skills with MS Office (Excel, MS Word, Power Point and Outlook)

Preferred Qualifications:

  • Bachelor’s degree
  • Experience in working with people of all ages and backgrounds
  • Experience with StarRez
  • Leadership/supervisory experience

 

Intern Housing Coordinator and Residence Life Intern

Duties and Responsibilities:

  • Plan and implement all aspects of the daily functioning of the Intern Housing Program, including acting as the liaison to all 700 summer interns throughout the summer.
  • Duties include coordinating Check-In and Check-Out procedures, managing individual applications, interacting with corporate reservations, communicating with facilities and custodial services, creating room assignments, preparing ID card and key systems checks, performing billing functions. You will remain the main contact for the Interns throughout the summer.
  • Oversee the Resident Advisors for the Intern Housing Program, including providing initial training sessions and facilitating a weekly staff meeting in coordination with fellow interns. Ensure Resident Advisors meet programming requirements.

Student Accommodations Intern

The Student Accommodations Intern will assist the Assistant Manager of Student Accommodations with the coordination of the summer housing programs. You will work primarily with college students from Columbia University, visiting students taking classes at the University, and foreign college students participating in the American Language Program (ALP). Customer service and interaction with the student population on various issues will be required.

Duties and Responsibilities:

  • Coordinating group reservations, creating room assignments, preparing ID cards and keys, organizing Check-In and Check-Out procedures, answering emails, performing billing operations, and providing hospitality service to our students.
  • Managing the summer interpretation of policies and procedures to students, parents, faculty and staff.   
  • Work as “on-call” overnight manager for any emergencies during office after hours.
  • General administrative office duties and performing other duties as assigned.

Required Qualifications:

  • Minimum 2 years of completed college
  • Minimum one-year experience in college residence life
  • Computer Skills with basic word processing and spreadsheet experience, Email, and internet knowledge

Preferred Qualifications:

  • Bachelor’s degree
  • Experience in working with people of all ages and backgrounds
  • Leadership/supervisory experience, especially of RAs
  • Good Computer Skills with MS Office (Excel, MS Word, Power Point and Outlook)
  • Good organization skills, ability to multi-task, and attention to detail are important for success in this position.

 

Conference Housing Assistant and Resident Advisor (dual position)

Duties and Responsibilities as a Conference Housing Assistant:

  • Required to attend weekly Summer Staff meetings.
  • Required to work at least 25 hours per week at the Conference Housing Desk to assist with the activities of Conference Housing. These activities include, but are not limited to:
    • Providing excellent customer service to all conference housing guests.  Possible duties may include delivering amenities (pillows, blankets, and towels), assisting with lock-outs, and offering advice.
  • Assist with preparation of conference Check-In and Check-Out.
  • Performing room checks around campus to make sure that rooms are prepared in advance of guest Check-In.
  • Operating as the “On-Call” staff and the primary contact weekly to assist with concerns that take place during the night when the office is closed. You will be responsible for being on-call multiple times during the summer. Responsibilities during this time may include assisting with lock-outs and providing amenities upon request. Responsible for general office duties as assigned.

Duties and Responsibilities as a Resident Advisor:

  • Implement and enforce all of the rules and regulations related to living in the Columbia University Summer Intern Housing Program and should be easily accessible to all Intern Housing Residents for support and advice.
  • Foster community development among your residents through individual/personal interactions and a minimum of two floor programs and one intern-wide hall program.
  • Assists the Conference Housing Coordinator and Intern Housing Residence Life Intern to arrange and facilitate all Summer Housing disciplinary cases.
  • Operate as the on-call Resident Advisor multiple times during the summer. During this time, you will be the primary contact person for any emergency situations that arise and will be responsible for performing “rounds” at least twice a night to monitor any suspicious or unsafe activities.

Qualifications:

You must be a full-time enrolled college student, in a degree-granting program.  Candidates must have experience working with college-age students, ideally in a residence life setting for at least one year.
